What a school timetable actually has to satisfy
Most timetable trouble comes from underestimating how many rules are in play. Before you touch a grid or a tool, list the constraints explicitly. A typical Indian school (CBSE, ICSE or state board; the logic is the same) has these:
- Periods per subject per week, per section. Class 8-A might need 6 periods of Mathematics, 6 of English, 5 of Science, 5 of Social Science, 4 of Hindi, 2 of Sanskrit or the third language, and fixed slots for Computer, Art, Music, PE and Library. This is your demand side.
- Teacher load and availability. How many periods each teacher can take per day and per week, which sections they are assigned to, and when they are unavailable (part-time staff, a Board exam invigilation duty, a coordinator's admin block).
- Shared teachers across sections. The same Physics teacher takes 11-A, 11-B and 12-A. Those three sections cannot have Physics in the same slot. This is where most manual clashes hide.
- Shared rooms and resources. One Chemistry lab, one computer lab, one ground. Lab periods usually need double (block) periods, which further reduces where they can go.
- Pedagogical preferences. No Mathematics in the last period, no subject twice in a row for the same section (except planned doubles), PE not immediately after lunch, first period for a class-teacher slot.
- Fixed events. Assembly, lunch, house periods, a weekly club or activity slot common to a whole wing.
These interact. A change that fixes a Physics clash can push a lab double into a slot the lab is already booked for. Software wins not because it is smarter than a coordinator but because it checks every rule on every move, instantly.
Norms that shape the frame
The Schedule to the RTE Act 2009 sets a minimum of 200 working days and 800 instructional hours a year for Classes I–V, 220 days and 1,000 hours for Classes VI–VIII, and 45 working hours per week for teachers (including preparation). Your board's affiliation bye-laws and state department circulars add their own expectations on working days and periods per subject. Take the day structure and subject-period allocation from those documents first; the software only fills the grid you define.
Manual timetabling vs software
Plenty of schools still build the timetable in Excel or on a whiteboard, and for a small school with under ten sections and no shared teachers it can be fine. The trade-offs change quickly as size grows.

The honest summary: manual works until you have shared teachers, labs and electives at the same time. After that, the cost is not the first draft but the constant patching, and the substitution scramble every morning. How to make a school timetable: a step-by-step method
This method works on paper, in a spreadsheet, or as the input sequence for software. The order matters: fix the rigid things first, then place the flexible ones around them.
Step 1: Fix the day structure
Decide the number of periods per day, period length (35–45 minutes is common), the assembly and lunch slots, and whether Saturday is a working day or a half day. Do this per wing (primary, middle, secondary, senior secondary) if the wings run different day lengths. Every later decision depends on this frame, so get it signed off by the principal before proceeding.
Step 2: Build the subject-period matrix
For each standard, list every subject and the number of periods per week. Sum the row and confirm it equals the number of periods available (for example, 8 periods a day over 5 days = 40 slots plus any Saturday slots). Mark which subjects need double periods (labs, art, some practicals) and which must be single. If a section's total does not match the frame, fix it here, not while placing periods.
Step 3: Map teachers to sections and count load
Assign a teacher to every subject-section pair, then total each teacher's weekly periods. Compare against your school's maximum load (many schools cap around 30–36 teaching periods a week, leaving free periods for correction and preparation). Anyone over the cap needs to be re-assigned now. Note class teachers, part-timers, and anyone with fixed unavailability. This is the step schools skip most often, and it is the one that produces impossible timetables.
Step 4: Place the rigid slots first
Lock in fixed events, then labs and other shared-room double periods, then any teacher who is shared across the most sections. A senior Physics or Mathematics teacher taking four sections is your hardest constraint; place their periods across the week before anyone else. Software does this automatically by prioritising the most constrained resources; if you are doing it by hand, do the same.
Step 5: Fill and balance the rest
Distribute remaining subjects so that no section has the same subject twice on a day (except planned doubles), heavy subjects are spread across the week and not stacked in the last periods, and each teacher has a roughly even daily load with no more than three or four consecutive periods. Balance is a quality goal, not a hard rule, so it comes last.
Step 6: Validate, publish, and freeze
Check three views: by section (all subjects present, counts match), by teacher (no clashes, load within cap, free periods reasonable), and by room (no lab or ground double-booked). Circulate a draft to teachers for one round of feedback, then publish a dated version. Treat that version as frozen; changes go through a defined request process rather than pencil edits.
The substitution (proxy period) workflow
The daily reality of timetables is absence. A teacher calls in sick at 7:30 am, and someone must cover five periods across three sections by the time the bell rings. Called substitution, proxy or arrangement periods depending on the school, this is where a good process saves the coordinator more time than the annual timetable does. A workable approach:
- Capture the absence early. One channel (app, form or message to the coordinator) with a cut-off time. Late intimation goes straight to the vice-principal.
- Find genuinely free teachers for each affected slot. Not just anyone with a free period, but someone not already on invigilation, not on their own leave, and ideally teaching that subject or that section.
- Balance the burden. Track proxies per teacher per month. The same three co-operative teachers should not carry every absence; software that shows a running proxy count makes this fair.
- Notify and record. The covering teacher, the section, and the office should all see the change the same morning. Keep the record; it feeds attendance, workload reviews and, in many schools, proxy allowances in payroll.
- Plan for long absences differently. A maternity leave or a resignation is not a proxy problem; it is a re-timetable for the affected sections. Do a proper mini-run of Steps 3–6 rather than weeks of daily patches.
Substitution is a data problem
The proxy scramble is only hard because the coordinator does not have teacher-wise free periods, leave status and current proxy counts in one place. When the timetable, attendance and leave live in the same system, the “who is free in period 3 for 9-B?” question becomes a filter, not a phone chain.
What to look for in timetable software
Vendors compete on the word “automatic”. Judge instead on whether the tool can express your school's constraints and whether the timetable stays useful after day one.

Common timetable mistakes
- Starting in the grid. Placing periods before the subject-period matrix and teacher loads are reconciled guarantees a rebuild. Steps 2 and 3 are the work; the grid is the output.
- Ignoring the shared teacher. Timetables are usually built section by section, and the teacher who appears in five sections is only checked at the end. Build around them first.
- Treating labs as single periods. A 40-minute practical is a setup-and-pack-up exercise. Plan doubles and book the room.
