Preschool Management Software in India: What You Actually Need

Preschool management software is a system built around the daily rhythm of a playschool, nursery, or daycare: attendance with check-in and check-out times, a daily update to parents (meals, nap, activities, photos), a safe-pickup workflow, fee collection, admission enquiries, and observation-based records instead of marks. That last point is the real difference from a school ERP. A preschool does not run board exams or subject-wise mark entry; it runs on trust with parents and on observation of three- to six-year-olds. #What preschools actually need, day to day

#Daily updates to parents

For a parent of a three-year-old, the daily update is the product. They want to know whether the child ate, slept, took part in the activity, and had a good day, and they want it before pickup, not at the end of the term. Good software makes posting this fast for the teacher: tap-to-fill fields for meal, nap, and mood; an activity note that can go to the whole class at once; optional photos; and a per-child note when something specific happened. If the teacher needs ten minutes per child, it will not get done consistently, and an inconsistent daily update is worse than none.

Two details matter in India specifically. First, parents live on WhatsApp, so the update must reach them where they are (an app push plus a WhatsApp or SMS fallback), not sit in a portal nobody opens. Second, photo sharing should be class-scoped and consent-aware; a parent should see their own child, not a public feed. #Attendance with check-in and check-out

Preschool attendance is a time record, not a tick. You need the arrival time, the departure time, and who was on either side of the handover. This matters for daycare billing (extended hours), for staffing ratios through the day, and for the incident question no one wants to answer from memory: “was the child on the premises at 3:40 pm?” A parent-facing arrival notification (“Aarav has checked in”) is a small feature that builds a lot of trust. #Safe pickup and authorised guardians

The pickup moment is the highest-risk minute of the preschool day. Children cannot vouch for who is collecting them, and drivers, grandparents, and helpers rotate. Software should hold an authorised-pickup list per child, let a parent add a one-time authorisation for today, and give the gate staff a way to verify without guessing, for example a QR code or PIN shown by the collector and scanned at the gate, with a log of who collected and when. #Fees, admissions and enquiries

Preschool fees are usually monthly or quarterly with add-ons: daycare extension, meals, transport, activity kits, sometimes a security deposit that is refunded on exit. The fee module should model those heads and frequencies, generate receipts, send reminders, accept UPI, and show outstanding balances per child without a spreadsheet. On the admissions side, preschools run a rolling enquiry pipeline: walk-ins, phone calls, Google and Instagram leads, and referrals, with a centre visit and a follow-up in between. You need an enquiry log with source, child's date of birth (for age-band eligibility), status, next follow-up date, and conversion. #Observation records and foundational-stage assessment

This is where generic ERPs fail preschools most visibly. There are no marks. India's National Curriculum Framework for the Foundational Stage (NCF-FS 2022), which covers ages 3 to 8, asks for assessment through observation, anecdotal records, and portfolios of children's work, and for reporting across domains of development rather than subjects. NCERT and PARAKH shared a prototype Holistic Progress Card (HPC) for the foundational stage, and CBSE has adopted the NCF-FS for its affiliated schools, including an HPC format for ages 3 to 6 and for Grades 1 and 2. The HPC is designed to capture input from teachers, parents, peers, and the child, not just a teacher's rating.

In software terms that means you need:

• Quick observation capture: a teacher notes something about a child in under a minute, tagged to a domain (physical, socio-emotional, cognitive, language, aesthetic) and optionally with a photo of the work.
• Portfolio per child: those observations and artefacts accumulate over the year and can be exported or shown to parents.
• Descriptive progress reports: rubric levels or descriptors (for example beginning / progressing / proficient) per competency, with a parent-input section, rather than a marks template with the numbers hidden.
• Alignment, not lock-in: NCF-FS is a framework, not a fixed form, and states and boards issue their own versions. Choose software where the domains and descriptors are configurable.

#Franchise vs standalone considerations

A large share of Indian preschools operate under a franchise brand, and that changes the software question in three ways.

• Mandated tools. Many franchisors bundle or require a specific app for parent communication or curriculum. Before buying anything, ask the franchisor in writing what is mandatory, what is optional, and whether you can export your data if you leave the brand. A standalone centre has full freedom but also full responsibility for choosing well.
• Curriculum vs operations. Franchisor apps are often strong on the curriculum and content side and weak on the operations side (fees, enquiries, staff, check-in). It is common to run the brand app for learning content and a separate operations platform for everything else. Just make sure parents are not asked to install three apps.
• Multi-centre visibility. If you own more than one centre, or plan to, pick software that gives you a per-centre view and a consolidated one (enquiries, admissions, collections) without separate logins per branch.

#What pricing models to expect in India

Preschool software in India is generally priced in one of three ways. We are describing the models, not quoting specific vendor prices, since those change often and depend on what is bundled.

• Per child per month or per year. The most common model for cloud products. Predictable and scales with your enrolment; check whether daycare-only children or waitlisted enquiries count.
• Flat per centre per year. Simple for a single centre with stable strength; can be costly if you are small and cheap if you are large. Watch for caps on students, staff logins, or storage (photos add up).
• Free tier plus paid modules. Attendance and communication free, with fees, admissions, or reports paid. Useful to start, but do the maths on what you will actually need by month three.

#How to choose: a short evaluation method

1. Run one real day in the demo. Check in five children, post a daily update with a photo, log a pickup by someone other than the parent, record an observation, and generate a fee receipt. Time each step from the teacher's seat, on a phone.
2. Ask parents, not just staff. Install the parent app on two or three parents' phones during the trial. If they do not open it in week two, the daily update is not landing.
3. Check the assessment model. Ask the vendor to show a progress report for a four-year-old. If it is a marks table with the numbers relabelled, keep looking.
4. Confirm exit terms. Full export of children, parents, fees, and observations in a usable format, and deletion on request.
5. Look at the roadmap for the next stage. Many preschools add Grade 1 and 2 or grow into a full school. Software that covers both the foundational stage and the standard/division model saves a painful migration later.

Common mistakes to avoid: buying on feature count rather than teacher time per task; choosing a tool that needs a laptop when your teachers only carry phones; and paying for a parent portal that parents never open because updates still go out on a WhatsApp group anyway.
